To help travel professionals stay organized, TravelJoy forms collect information on one traveler at a time and sync that information to the traveler's profile. Most forms provide the client with the ability to enter their roommates' or fellow travelers' information as well. (For exceptions, check out the last section of this guide.)
- At the top of your form, use the "Filling out form for" dropdown to choose a traveler
- Fill out that traveler's information and submit the form to bring up the confirmation page
- For each additional traveler, click the "Add Traveler" button and repeat these steps
Choosing a traveler
When the client opens the form, they'll see this box at the top of the page:
By default, the form will show the name of the lead traveler or the traveler who opened the link, and this means that they are submitting their own information.
Clicking on the blue box will open a dropdown list that may contain the following:
- Other travelers on this trip who were sent a copy of this form
- A "New Traveler" option
Selecting a traveler's name will load their version of the form so that the client can submit that traveler's information, while selecting "New Traveler" will bring up a blank profile so that the client can add an unlisted traveler to the trip.
Note: If you expected to see a fellow traveler's name in the dropdown and it's not there, this indicates that your agent did not send a copy of the form to that traveler. You can ask your agent to send a new copy of the form to include that traveler, or choose "New Traveler" and enter their information from scratch.
Filling out the form for an additional traveler
Once a client has submitted the form, they will be taken to a page confirming that submission. The page will have a blue "Add Traveler" button:
Clicking this button will take the client back to the form where they can choose another traveler (or add a new traveler) from the dropdown list and submit their information, as shared in the previous section. These steps can be followed until all travelers' information has been submitted.
What to do if a button is missing
If the "Filling out form for" dropdown is missing, this indicates that your agent has sent a personal profile update form that can only be used to update your own profile.
If the "Add Traveler" button on the confirmation page is missing or a different blue button appears, this indicates that your agent has sent a type of form that cannot be used to update or add travelers. This is most often a credit card authorization form.
In both cases, if you need to update another traveler's information or add a traveler to your trip, reach out to your agent to let them know and they will send the proper form.
