Congratulations on your savvy decision to use TravelJoy! You're on your way to saving time, impressing clients, and growing your business.
This is the first in a series of three guides which will help you get the most out of your new TravelJoy membership.
While some new members prefer to jump in head first and learn as they go, these guides are focused on the folks who prefer to start with a complete setup and thorough walkthrough. Consider using each guide as a checklist!

Getting Started checklist
The "Getting Started" checklist appears at the top-right corner of your TravelJoy account while signed in, unless you've hidden it. It is important to know that while this is a great training tool, completing it is not required, and you should feel free to skip any steps that aren't relevant to you.
Set up your brand
Set your agency info
Add the details of your agency here, including your contact information and logo. You can always change this later by visiting Settings -> Agency Info .
Upload your profile photo
While optional, the profile photo appears in some communications with your clients and allows you to provide a more personalized experience. You can update this later by visiting Settings -> Account .
Personalize your email signature
Add anything you'd like to your signature, including images and links, but keep it short and sweet! You can update your signature at any time by visiting Templates -> Signature.

See client inquiry form
One of the first forms most agents send to their clients, the inquiry form collects some basic details about what a client wants out of their next trip. As you'll see in our next guide, all of our built-in forms are customizable, so feel free to take notes on what you might change about this form!
See travel insurance form
Forms are also designed to collect signed agreements in TravelJoy, and one built-in form with this capability is our travel insurance waiver.
See supplier invoice
We'll talk more about the different kinds of invoices and how they work for you later, but in the meantime, you'll create a basic supplier invoice -- that is, the type of invoice which collects an authorization rather than a payment. All agents have access to this invoice type.
Import your clients
If you have clients to import, you can either add them to our built-in instant import spreadsheet or share your pre-existing spreadsheet as a custom import, both of which are more thoroughly explored in this guide.
Get paid
Set up direct payments
Planning to process payments? You'll set that up here. If you skip it and change your mind later, you can always visit Settings -> Direct Payments to get started.
Create a trip
It's helpful to think of trips in TravelJoy as "folders." You'll create a folder every time you start talking to a lead -- even if there's no actual trip booked yet -- so that the conversation is organized in one place. If the trip doesn't come to fruition, it can be archived in two clicks.

Hiding the checklist
Once you've accomplished everything important to you, the Getting Started checklist can be hidden by scrolling down and choosing "Hide getting started checklist."
Using your test trip and profile
Every new TravelJoy account contains exactly one client (you) and one test trip. This trip is your ticket to getting more comfortable with the TravelJoy platform, because you're both the agent and the client! Feel free to try any new features here.
If you ever accidentally delete your test trip, you can just make a regular trip and choose yourself as the client -- there are no special settings in your test trip.
Open your test trip by clicking the trip on your Dashboard .
Updating your client profile
In your test trip, click your initials under "View Travelers" to see your client profile. Notice the tabs, such as special dates and passport info, where your data can be added and organized. Add any info you'd like, then click Save at the bottom-right corner to save your changes.
Navigating your trip
Your trip is fully functional. Try your hand at adding a task, creating a smart proposal, or testing your templates, which you'll learn to customize in the next guide.
Setting up your outgoing email address
Using the built-in email address
By default, TravelJoy will send your messages to clients from messaging@traveljoy.com. Most agents stick with this option, as the vast majority of email apps show recipients the name of the sender instead of the email address, and this is a very reliable way to ensure your clients receive their messages.
Using your custom domain email address
If you do want your messages to come from your email address at your own custom domain, you'll have to add some DNS records. Our suggestion is to enlist the help of your domain registrar's support team for this step. Learn more here.
Using your Google Mail address
For an easier setup experience, members with an email address provided by Google (including both Gmail and Google Workspace) can connect their TravelJoy account to Google Mail. Because these messages are sent through Google instead of TravelJoy, we have less insight into deliverability, so we primarily recommend the first two options above.
Setting your default font
While visiting your outgoing email settings, you can also change our default email font, size, and styling to align with your brand.
Enabling two-factor authentication for enhanced security
Two-factor authentication requires entering a code in addition to your password, and TravelJoy strongly recommends enabling this feature by visiting Settings -> Security .
Using an authenticator app
Using SMS or phone calls for authentication has downsides, including the inability to receive codes while out of service range and losing access to your account if you unexpectedly lose access to your phone number. Instead, we recommend using an authenticator app when you enable 2FA. Learn more here.
Choosing a default trip photo
While you can (and should!) choose a unique trip photo for every trip to amaze your clients, you can also choose a new default trip photo to help save time. This default trip photo will appear at the top of every file when you haven't chosen a custom option for a particular trip.
Adding your terms and conditions
TravelJoy has some basic built-in terms and conditions, and we recommend that all members augment these by adding their own agency terms. The three default templates listed below are used on our invoices and forms, and can be found at Templates -> Terms & Conditions .
Agreement Terms
This template appears on our built-in Travel Services Agreement form, and may be best utilized as your agency's standard terms and conditions.
Invoice (Supplier) Terms
This template appears on all supplier invoices and credit card authorization forms by default and includes language that reinforces the signed authorization provided by the client on these pages. While we recommend adding your own terms to this template, we also recommend keeping the original section intact unless adding a direct replacement of this language.
Invoice (Direct) Terms
This template appears on all direct invoices by default and includes language that can help protect in you in the case of a dispute. While we recommend adding your own terms to this template, we also recommend keeping the original section intact unless adding a direct replacement of this language.
