The filters at the top-right corner of most TravelJoy reports are the key to unlocking the real power of reporting. In this guide, we'll share a few examples of how these filters can help you track down an elusive piece of data.
Finding a missing recent payment in your Direct Payments Report
When you visit your Direct Payments Report, you may find that a recent transaction is not listed. The most common reason for this is that the payment is due in the future -- next week, for example -- and the default filter for this report shows payments due within the last thirty days:
Changing the middle filter from "Payment Due Date" to "Payment Charge Date" will immediately show all direct payments made in the last thirty days, including the one that you weren't able to locate before.
Alternately, changing the date range filter to include this payment's due date will have the same effect.
Finding a missing recent payment in your Commissions & Sales Report (Payments)
A similar situation may happen with payments (either direct or supplier) in the Payments tab of your Commissions & Sales Report. For example, perhaps a client authorized an on-time payment yesterday and you've noticed that you don't see it in this report, which defaults to showing unpaid payments due within the next two weeks:
Changing the first filter from "Unpaid" to "Authorized" is the first necessary step, but it still won't show the payment, which was due yesterday. You'll also need to change the date range to include yesterday's date, and this will expose the payment in question.
Finding past-due commissions on your Commissions & Sales Report (Details)
Tracking down past-due commissions gets easier with the Details tab of your Commissions & Sales Report. However, this only becomes true if you set the right filters. The default view in this report shows every item with a Booking Date within the last thirty days.
Before we move on, if you're not familiar with the importance of Booking Dates to your reporting accuracy, take a moment to check out this guide and always remember to add your Booking Date.
In this case, you'll want to change the first filter from "Booking Date" to "Commission Past Due," and then change the date range to all time by clicking the "All Time" option. This exposes all past due commissions in one report.
To make this report easier to read and use, you may wish to try these additional steps:
- Type a supplier name into the search box just below the filters to only show past due commissions from one supplier
- Click on the "Expected Agent Commission" column header twice to sort the report from largest to smallest past-due commission payment
Finding a specific withdrawal's deposit date on your Bank Transfers Report
Finally, let's say that a client made a direct payment via bank transfer a couple of months ago and you withdrew that payment from your Funds balance. Now you want to see when that withdrawal reached your bank account. The default filter for your Bank Transfers Report contains all in-transit and completed withdrawals within the last thirty days, so this payment likely won't show up by default.
To find the withdrawal, you'll want to change the date range to include the approximate date when it would have been deposited, keeping in mind that withdrawals tend to take two business days to reach you. Don't worry about nailing down an exact date -- a larger range will be helpful in the next step.
Once you have your date range selected, type the invoice number into the search box just below the date range filter, and you'll see all of the details concerning this deposit.
