Overview
In this guide, we'll explore the difference between email templates, which are used for outgoing messages to your clients, and form templates, which are designed to collect incoming information from them. Additionally, we'll discuss how these templates can work together in certain scenarios.
Sending your client an email template
An email template contains an outgoing message only. You can see your list of default email templates and add new ones by visiting Templates → Emails.
To send an email template, go to the “Messages” tab of any trip and click "Type your message here" to start a new message:
From there, click the “Email Templates” dropdown menu at the bottom of the message box to choose your preferred template:
That's it! Your template will populate, along with your signature, and you can click the blue "Send” button in the bottom right-hand side of the message box.
Sending an email that requires a form:
If you are attempting to send an email template from the message feed that requires a form, such as the Credit Card Authorization Email, a pop-up message will appear:
Click "Send Form" and you will be directed to the Trip Form page:
Once you’ve selected the form you would like to send: click the “Next: Review Email” button in the top right-hand corner of the screen, customize the email that will accompany your form accordingly, and click "Send".

Sending your client a form template
You'll send a client a form when you need to collect information, such as passport details, trip preferences, credit card authorization, or acceptance of travel insurance.
When you send a client a form, they receive an email containing three parts:
- An email containing your explanation of the form
- A link to the form
- A signature
All three of these are based on templates. In a trip, when you click the blue “Create...” button and select “Form”, then choose a form from the list, you've chosen which form template will be linked in the email.
When you click the blue “Next: Review Email” button in the top right-hand corner of the screen after selecting your form template, you're shown the associated email template so that you can review and make any last-minute updates before sending it to your client.
The email template associated with a form is chosen in the form template editor under the “Show advanced form options” drop-down:
