Enabling automation of a task means that TravelJoy will automatically send your client their email message, form, or payment reminder at a specified date and time.
You can enable automation on any task, including tasks added to a task list template. This can enable you to set up a fully automated trip message sequence. To learn more about task list templates, check out this guide.
This setting can be configured on the "Automation" tab of any individual task:
On this tab, you'll choose from a number of settings:
- Action: Choose whether you would like this task to be completed automatically
- Except for payment reminders, you'll also choose whether to send an email or a form
- Send email: This is when the task will be automatically be processed (sent to your client)
- Except for payment reminders, this can only be updated on the "Tasks" tab
- Use template: Choose the email template or form template you'd like sent to the client
- Send to: Choose whether to send to the primary traveler or all travelers on the trip
- Send me a copy: Checking this box will result in a copy of this message sent to your inbox
- Mark task as complete: Checking this box will mark this task "complete" after the message has been sent to your client, moving it to the "Completed" section on your Tasks page
Note: This feature disables the default option to send yourself an email reminder when this particular task is due. If you'd still like to be reminded via email, click the "Send me a copy" box when configuring this automation.

How do you cancel this option? There should be a button on the same page giving us the option to delete.
Hi Diamond Travel Group! Great question. You can stop the automation of the task by changing the Action drop down menu to "Don't automate this task" on the Automation section of the task:
If you want to delete the task entirely, you can do that by clicking the Delete trashcan icon beside the task on the Task List page.
Can Group Tasks be automated? I'm not seeing it as an option. I'd like to send a welcome email on the day of and rather not do it manually for a group of 20+ travelers
Hi Mary! Though sending a group welcome message isn't an available feature at this time, there is a bit of a workaround that might be helpful when it comes to trips that haven't been booked yet. You can:
With this option, each new trip that books through that page will have the task list added automatically, and will therefore receive the scheduled messages in that task list. I have three travelers on one booking. Is there a way to send an automated message so that each traveler receives the email individually, rather than sending one email addressed to the primary traveler and CC’ing the other two?
For example, I created an email encouraging travelers to make payments toward their invoice. I’d like the message to be individually addressed to each traveler rather than sending a single email to the primary traveler with the other two copied on it.
Hi there! Great question. At this time, an automated email can only be sent to either the primary traveler or the individual travelers. I can definitely see how being able to schedule emails to individuals within a trip that aren't the primary traveler and will share this with our Product team!
