Overview
Using our itinerary builder, you can build an elegant itinerary to keep your clients informed during their travels. Each itinerary features a trip overview, day-by-day travel plans, flight tracking, file attachments, and more. Your client can download an offline copy to reference while traveling or view their itinerary in the Itineraries by TravelJoy app!
Each trip in TravelJoy can have only one itinerary. It is your client's "source of truth" for their trip.
Itineraries can also be created as "smart proposals," which are sent to the client requiring approval. Even though a trip can only have one itinerary, you can create and send as many smart proposals as you'd like. Once the client approves their favorite smart proposal, it automatically becomes that trip's itinerary. Â
Create the itinerary or smart proposal
To get started from any individual trip, click the blue "Create" button at the top-right, then choose "Itinerary". Alternately, if you want to require approval from the client, choose "Smart proposal."
There are three sections in an itinerary:
- Title card: The title and short intro for your itinerary
- Sections: Breaks the itinerary down by date, location, etc.
- Items: Individual parts of the trip, such as flights, hotel stays, and tours
Additionally, there are two other features to know about:Â
- Library: Reuse previously-used items or entire itineraries.
- Settings: Set the deposit and price of your new itinerary
Title card
If your client is a fan of gambling and they're headed to Las Vegas, this might be a great example of a completed title card:
The title card helps set expectations for your trip by providing an attention-grabbing title and an engaging short intro. By default, it uses the trip's existing Trip Photo, so click here if you need to change it. You can also add new photos to this card.
You'll add the title, intro, and any new photos in the editing panel to the right:
The finished product can be reviewed at any time by clicking the "Preview" button at the top of the page.
Sections
A section header for a client on a multi-day trip to Vegas might look like this:
Sections are a flexible way to organize the layout of your itinerary. Maybe the best option is to break the trip down by day, with individual activities listed in chronological order. Maybe this is a multi-city visit and each section contains details for an individual city from the agenda.
Each section can contain as many items as you'd like. Click the "+ Add section" button and then edit the section name in the editing panel on the right:
Items
To add an item, locate the blue "+ Add item" button just below the title card:Â
An item for a flight to Anguilla might look like this:
Each item is part of your client's trip! You can choose from a built-in list of item types that include special features related to that particular item. In the example above, we've chosen the "Flight" item and added all of the flight details, so the card automatically displays the latest flight status. You can even check a box to automatically send flight updates to your client via email!Â
If your item doesn't fit any of the listed categories, you can still choose to create a general item. The item will have its own title and description:
You can enhance your items with embedded videos, photos, and attachments. We recommend at least one high-resolution photo per item for the best layout, such as this one for the client's arrival in Las Vegas:
In addition to dragging photos from your device or a website directly into the photo area, you can also import photos from a website and choose which photos you'd like to add to your item. To do this, click "Add photos from website" and enter the web address in the box provided, then click "Add Photos." Click the red X on any photos you'd like to remove.
To add a video, click the option to "Add YouTube video to description" and paste your YouTube link into the box provided.
Settings
Finally, you can click the whitespace anywhere on your itinerary edit screen to bring up the settings in the editing panel. Here, you can set a deposit and full price for the itinerary so that the client knows exactly what to expect, as well as a confirmation page (learn how to create a confirmation template here) to choose what the client sees upon approval (if sending as a smart proposal):
When you're ready, click "Send" to deliver the itinerary to your client. You'll be notified when your client views (and approves when using a smart proposal).
Finding your smart proposal or itinerary
If you need to find your smart proposal or itinerary to make edits or resend it to your client, open the trip where it was created and click the "Files" tab. It will be on this tab, with a "P" icon for a smart proposal or an "Itn" icon for an itinerary.
Click the file to reopen it, or click the three-dot action menu at the top-right corner of the file to see other options.

Playing around with these smart proposals, they look fantastic! But I'm missing the functionality of adding PDF documents, entering all the details of each part of the trip (where we could select air, package, etc). Will there be more information or a video tutorial on how to do that? I really love the appearance of these, but without all those fields to paste detailed itineraries or upload PDF quotes, I'm not sure how to get all that crucial information to the client

I know you can create smart proposals for individual trips, but is there a plan to incorporate the smart proposals into groups? What I was thinking was how we have the booking page for groups, will there be a way to do something similar using the smart proposals for groups?Â

Hi Michelle! The "payments on smart proposals" feature was rolled out the day after your comment, so you should have access to that feature now!

I have created a couple smart proposals but some how my name and logo was at the top of the proposal but now it's in the middle. Is there a way to fix that? I have removed pictures thinking it was to many uploaded but that didn't fix the problem

I do not know how to or see how to get into the section on the Smart Proposal entitled Trip Overview. How do I get there? It is only visible when I preview the proposal.
Hi Addie! That section is created automatically, based on the names of your Sections and Items.Â
How do you delete or edit an item
Hi Kristin, you can edit or delete an item by clicking on the appropriate icon beside that item:
The blue pencil icon is the "Edit" button while the red trash can is the "Delete" button.Â
Is it just me or does the smart proposal show only 1 price? We often offer an Air-Land and a Land-Only package, but I can't figure out how to make that happen on the smart proposal.
Hi there! You're correct that the smart proposal contains the total price for the package you've created. We do not currently support optional add-ons on smart proposals, but this is a great idea and I've shared it with our product manager!Â
Hello, are there any updates on "Smart Proposals for Groups" plus with the features for selecting different packages/add-ons like in the current group feature?

Is there a way to unpin an itinerary? I've had clients approve a proposal too soon and then have to generate a new proposal with updates. The original proposal that is converted to an itinerary is still pinned, where as I would prefer to be the more updated copy.

Once a smart proposal is approved and the itinerary is automatically created does the client have access to the itinerary right away or will they not be able to view it until I send the itinerary via email or link?Â
Is there a way to set up a group itinerary so that everyone can see the prospective plans for the trip? Â Or should that be added to the group page once it's determined?Â
 I am trying to send a smart proposal and the send option is grayed out. Am I doing something wrong?
Brittney Vincent Yes, you can unpin an Itinerary once it is set by going to the Files tab, finding the Itinerary file, clicking the three dots, and selecting "Set as smart proposal"!
Mary Thomas The clients will be able to follow the same link to the Smart Proposal you sent them previously to view the Itinerary! Once it becomes the Itinerary, the next time they view it they will also be prompted to download the Itineraries app as well.Â
RaShae Walsh At this time, the Itineraries/Smart Proposal feature is only available for individual Trips. We recommend a Group Booking Page for Group planning!
