Overview
Duplicating a trip file -- specifically, an invoice, smart proposal, or itinerary -- allows you to create a new copy of that file for any other trip, or another traveler on the same trip. This includes any items, prices, and other details.
Duplicate an invoice
đź’ˇ Note: Invoices that have been created via Group Booking Pages are not able to be duplicated at this time. |
To duplicate an invoice, you’ll need to first locate the original invoice within the associated trip’s "Files” tab:
Once the invoice is located, select the “…” menu in the top right-hand corner of the file and click “Duplicate”:
From here, a pop-up will appear allowing you to select which trip or client name you would like the duplicate invoice to be created for, the new invoice name, and the invoice type if direct payments have been enabled in your account (What is the difference supplier and direct invoices?):
Once all fields have been selected and filled out, click “Continue” in the bottom right-hand corner.
Customize a duplicate invoice
Once an invoice is duplicated, some customization is possible. The new invoice will open automatically in preview mode. If no changes are necessary, you can simply send it as normal.
If you have edits, click the "Edit" button at the top-right corner of the page, and update any of the following:
- Add new line items
- Edit existing line items
- Change the assigned traveler for the invoice
- Select a different terms & conditions template
- Update the payment schedule
When complete, you can send it to your client as usual!
Duplicate a smart proposal or itinerary
💡 Did you know you can use the smart proposal library to automatically import previously created items or even entire proposals? Learn how here. |
To duplicate a smart proposal or itinerary, first locate the file in the trip "Files" tab:
Once located, select the “…” menu in the top right-hand corner of the file and click “Duplicate”:
Once clicked, a pop-up will appear prompting you to choose the trip in which you’d like to duplicate this smart proposal or itinerary and give it a name:
Once these fields have been added, click “Continue” in the bottom right-hand corner to finish the process.
You can edit the duplicated smart proposal or itinerary if needed by visiting the trip "Files" tab where it was created and opening the file to edit as normal.Â

Hello, I'm not trying to duplicate an invoice I'm trying to delete it out and replace with a new invoice for the same client....
Hi Robin! You can learn more about how to delete or expire an invoice in this help guide: Expire or delete an invoice
If there have been payments made on the invoice already, it is not able to be deleted but can be expired. :)Â
When I try to duplicate a smart proposal:
- The field 'where to create duplicate proposal' only lists groups, not individual trips.Â
- I am only able to duplicate it in the same trip, not a different trip
- The original Proposal Intro isn't duplicating.
Help? Thanks.

Hi Jo! I've responded to the support ticket you've sent in with some recommendations :)Â
Good Day, I am trying to duplicate an invoice so that all travelers can pay on their trip separately and not share an invoice. The bookings are made via a group page registration link. Please assist, thank you.
Hi Sheena! I'll be responding to your personal support ticket since this is related to your personal booking set up :)
Hello,Â
I have the same question as Sheena Fortune above. I want to duplicate the invoice for the other person in the room. How do I do this? I'm setting up a new group but struggled with the last group I did. I had a work around but wanted to make my life simple for the next one.Â
Thank you,
Hi Yolanda!
If your clients are also booking via a group booking page, you'll want to have each of the roommates book separately, and then put them in the same room as seen in the first section of this guide.Â
If they've already booked and they're on a single invoice, that is covered in the same guide. Scroll down to the section called "Split an existing invoice between roommates" and you'll find instructions!Â
i dont have a duplicate button, not sure why.Â
