You can then send the itinerary or Smart proposal directly to your client, where they can view their trip details in real time and even take the itinerary or Smart proposal with them on the go using the Itineraries by TravelJoy app.

Getting Started
In today’s example, we’ll focus specifically on the elements of a Smart proposal. That said, the Itinerary and Smart proposal builders within TravelJoy are very similar in structure. The key difference is that Smart proposals include a few additional features:
- The ability for clients to review and approve the proposal, which then converts it into an itinerary
- The ability to display pricing, collect payments, and capture credit card authorizations
- The ability to present selectable options for clients, such as choosing between hotels
The Itinerary tool, on the other hand, serves more as your client’s “source of truth.” It organizes and presents their trip details but does not require client approval.
Create a Smart proposal
To create a Smart proposal (or Itinerary, if you prefer), start by opening your client’s trip from your TravelJoy dashboard, and navigating to the blue “Create…” button in the top right of the screen, under the trip name.
Once the blue “Create…” button is clicked, you’ll see the ability to create an Itinerary or Smart proposal:
Settings
The Settings tab of a Smart proposal allows you to customize key details, including the title and introduction, update or remove your signature, change the cover image, and select the confirmation template and email that will be associated with the proposal:
Pricing

The Pricing tab (located within the Settings tab) offers the ability to input pricing, adjust how you’d like pricing to be shown, and choose if you’d like to only display pricing or accept a credit card authorization or direct payment when your client approves their proposal:

Copilot

Magic importer
The Magic importer tool allows you to take itinerary documents provided by your suppliers and import them directly into your itinerary or proposal. This tool allows you to import cruise, hotel, flight, and activity details. See the guide
Library
The Library tool can store any items you’d like to reuse on itineraries or proposals. Clicking on the “Library” button within your itinerary or proposal will allow you to view and add items you’ve previously saved, or even search for full itineraries or proposals to easily duplicate. Additional elements
You can manually add several elements to your itinerary or Smart proposal:
Sections break up your itinerary or proposal based on date or category - whatever works best for you. Sections, once added, can be edited on the right side of the screen:
Items can be added for individual details such as flights, car rentals, general information and more. You can even search for cruises and import hotel information. Once added to the itinerary or proposal, you can edit these items to add confirmation details, photos, and additional information on the right side of the screen:
Options allow you to offer choices to your clients, like when you need them to choose between two hotels. You can learn more about this tool here.
Bookable items offer the ability to propose and book hotels, activities, and transfers directly through TravelJoy, all while earning you a commission!
Managing itinerary & proposal elements
Once you have added your needed trip sections, items, or options, you can drag and drop them to arrange them further. You can also hide, duplicate, or delete items using the action menu on the right side of each section or item:
Change how you view itinerary and proposal items when editing by toggling between list and grid view:

Preview & share with your client
Preview
You can preview and share your itinerary with your client by locating the “Preview” button at the top right of the editing screen:
Send to your client
When you’re ready to send your itinerary or proposal to your client, head up to the blue “Share proposal” button in the top right of the page. From here, select the option to “Send”. You’ll be able to customize the email that accompanies your proposal and even turn on a reminder for your client if they don’t open the proposal within a certain amount of time:
Client experience
When your client receives their proposal, they’ll see a polished, easy-to-navigate experience complete with a clickable overview that helps them jump to specific items quickly. They’ll also have the ability to sync the proposal with the Itineraries by TravelJoy app, share it, download it to their device, ask questions via email, and ultimately approve the proposal, converting it into their trip itinerary:

What happens after a Smart proposal is approved by a client?
You’ll receive an email letting you know the proposal has been approved and will see it now listed as an itinerary right from the client message feed:
How do I get back to my proposal or itinerary to edit it?
Itineraries can be accessed right from the trip message feed (as seen above) or from the trip files tab. Proposals will only be accessible from the trip files tab:
Can I archive an itinerary or Smart proposal if needed?
Yes! This can be done from the trip files tab:
Once archived, client’s will not be able to access the itinerary or proposal link shared with them.

Playing around with these smart proposals, they look fantastic! But I'm missing the functionality of adding PDF documents, entering all the details of each part of the trip (where we could select air, package, etc). Will there be more information or a video tutorial on how to do that? I really love the appearance of these, but without all those fields to paste detailed itineraries or upload PDF quotes, I'm not sure how to get all that crucial information to the client

I know you can create smart proposals for individual trips, but is there a plan to incorporate the smart proposals into groups? What I was thinking was how we have the booking page for groups, will there be a way to do something similar using the smart proposals for groups?

Hi Michelle! The "payments on smart proposals" feature was rolled out the day after your comment, so you should have access to that feature now!

I have created a couple smart proposals but some how my name and logo was at the top of the proposal but now it's in the middle. Is there a way to fix that? I have removed pictures thinking it was to many uploaded but that didn't fix the problem

I do not know how to or see how to get into the section on the Smart Proposal entitled Trip Overview. How do I get there? It is only visible when I preview the proposal.
Hi Addie! That section is created automatically, based on the names of your Sections and Items.
How do you delete or edit an item
Hi Kristin, you can edit or delete an item by clicking on the appropriate icon beside that item:
The blue pencil icon is the "Edit" button while the red trash can is the "Delete" button.
Is it just me or does the smart proposal show only 1 price? We often offer an Air-Land and a Land-Only package, but I can't figure out how to make that happen on the smart proposal.
Hi there! You're correct that the smart proposal contains the total price for the package you've created. We do not currently support optional add-ons on smart proposals, but this is a great idea and I've shared it with our product manager!

Is there a way to unpin an itinerary? I've had clients approve a proposal too soon and then have to generate a new proposal with updates. The original proposal that is converted to an itinerary is still pinned, where as I would prefer to be the more updated copy.

Once a smart proposal is approved and the itinerary is automatically created does the client have access to the itinerary right away or will they not be able to view it until I send the itinerary via email or link?
Is there a way to set up a group itinerary so that everyone can see the prospective plans for the trip? Or should that be added to the group page once it's determined?
I am trying to send a smart proposal and the send option is grayed out. Am I doing something wrong?
Brittney Vincent Yes, you can unpin an Itinerary once it is set by going to the Files tab, finding the Itinerary file, clicking the three dots, and selecting "Set as smart proposal"!
Mary Thomas The clients will be able to follow the same link to the Smart Proposal you sent them previously to view the Itinerary! Once it becomes the Itinerary, the next time they view it they will also be prompted to download the Itineraries app as well.
RaShae Walsh At this time, the Itineraries/Smart Proposal feature is only available for individual Trips. We recommend a Group Booking Page for Group planning!
